JBM has been hired to identify an Administrative Assistant for our client. This is a part-time (20-25 hours per week) remote opportunity and we are seeking an individual that is available to work in the Eastern Time Zone as well as flexible to work other time zones, as needed.

Assistant for their organization. This firm combines business acumen, expertise, and an understanding of leader analytics, to translate insights into practical and strategic solutions that accelerate the growth and performance of individuals, teams, and companies.

The Administrative Assistant plays a critical role in the firm through the support of the operations’ team in scheduling, calendar management, travel, expense reporting, and other miscellaneous assigned duties. The Administrative Assistant will have the unique opportunity to be part of an interactive and innovative team that delivers services to the entire organization.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Calendar Management

  • Respond quickly and proactively to scheduling requests
  • Work with relevant parties to schedule and confirm conference calls, client assessments, appointments and meetings
  • Review calendars regularly to identify and resolve any scheduling conflicts or challenges

Expense Reports

  • Assist consultants in preparing their business expense reimbursements
  • Review for accuracy and completeness, follow up with consultants as needed, and submit to Accounting
  • Comply with Accounting guidelines and follow recommended business processes
  • Review office related invoices for accuracy, complete Vendor Invoice Submittal Forms, and route to Accounting for payment

Misc.

  • Keep Project Coordinators/Team Managers up-to-date on status of requests and reports
  • Share information and collaborate with the cross-functional team as needed to ensure seamless support
  • Customer service mentality
  • Perform duties assigned

QUALIFICATIONS

  • Bachelor’s degree and 1+ years of relevant experience.
  • Prior administrative assistance experience in an office environment; scheduling appointments, making travel arrangements and processing expense reports
  • Sharp attention to detail and accuracy; organized and dependable
  • Service-oriented: Able to anticipate needs and opportunities
  • Outstanding ability to communicate comfortably, confidently, and professionally with a diverse range of personalities and job functions
  • Maintains a professional, collected demeanor in a fast paced environment; effectively manage competing demands and able to adapt to frequent change, delays or unexpected events
  • Technical – Advanced MS Office skills; Concur, experience setting up Zoom and teams meetings
