We're looking for an in-house Accounting Specialist to take over the company's financial and HR accounting. You start with the US entity, then gradually take over accounting for the Ukrainian company a Diia.City (Дія.City) resident and settlements with private-entrepreneur (ФОП) contractors.
COXIT is an IT company building AI products for US clients. We're not looking to fill a seat: we need someone who knows the legislation, proposes solutions, picks up new tools quickly, and automates routine work with AI.

Qualifications

The first two blocks are what you will be doing from day one. The third is experience we expect you to have, even if those tasks don't become yours right away.

Required: US entity
Experience keeping the books of a US-registered company.
Preparing and filing the US entity's reporting independently or together with an external CPA.
Contractor tax forms: W-9, W-8BEN, W-8BEN-E; annual contractor reporting (1099-NEC).
Administrative deadlines of the state of registration: annual report, license tax, registered agent renewal.
English sufficient for working with documents and correspondence.

Required: AI, automation and tools
Practical use of AI assistants (Claude, ChatGPT or similar) at work: checking calculations, drafting letters and explanations, researching and analysing rules.
The ability to verify an AI answer critically against the primary source.
The ability to describe a repeatable process so it can be automated: data source, template, schedule, recipients.
Readiness to learn new tools independently and automate routine work: regular reconciliations, generating standard documents, deadline reminders.
An accounting system, an electronic reporting service, a client-bank; Excel and Google Sheets at the level of formulas and pivot tables.

Experience required: Ukrainian side
Experience with accounting and reporting for a Ukrainian LLC (ТОВ).
Hands-on experience with a Diia.City resident: taxation, gig contracts, monitoring residency criteria, the annual report, and audit checks.
Settlements with private-entrepreneur (ФОП) contractors and an understanding of the related tax risks.
The ability to research and justify an answer to a non-standard question, relying on current rules and official clarifications.

Nice to have
HR records, military registration and employee deferment.
Contract document flow: preparing from templates, managing signing, keeping a contract register, electronic document flow and qualified electronic signatures.

Responsibilities

At the start:
Processing and recording payments for the US entity: recurring software subscriptions, travel expenses, contractor settlements.
Preparing and filing the US entity's reporting independently or together with an external CPA.
Categorising expenses and maintaining the source data that reporting is built on.
Checking that transactions are documented correctly and advising the team on paperwork.
Collecting and refreshing contractor tax forms: W-9 from US contractors, W-8BEN and W-8BEN-E from foreign ones; keeping a register of expiry dates.
Preparing data for annual contractor reporting in the US (1099-NEC) and monitoring the thresholds.
Tracking Wyoming administrative deadlines: the annual report and license tax in the anniversary month, and registered agent renewal.

Over time, the scope may grow for example, to accounting for the Ukrainian LLC (ТОВ) or settlements with private-entrepreneur (ФОП) contractors. That is by agreement and depends on how the work develops.
